Cancellation & Refund Policy

 

Important: Cancellation requests are not accepted over the phone.

We understand that having to cancel a tour can be disappointing. That’s why BhaktiKaro has created a pilgrim-friendly cancellation policy to provide greater flexibility and minimize inconvenience.

To initiate a cancellation, you must send a written request via email to info@bhaktikaro.com. The request must be submitted by the person who made the booking, along with a copy of the tax invoice.

This policy is effective from August 1st, 2024.

Cancellation Terms

  1. 30 Days or More Before Start Date
    • Eligible for a refund with 30% cancellation charges applied to the tour package fee.
  2. Between 29 to 15 Days Before Start Date
    • Eligible for a refund with 50% cancellation charges applied to the tour package fee.
  3. Within 14 Days of the Start Date OR No Show
    • No refund will be issued.
    • You may:
      • Transfer the same tour (same batch & date) to someone else, or
      • Request a Cash Voucher equal to the full amount paid, if requested at least 14 days before the tour date. The voucher will be valid for 1 year.
  1. Cancellation Using a Voucher
    • The standard cancellation policy applies.
    • Any remaining balance (after deducting cancellation charges) will be credited back to your BhaktiKaro account.
    • No refund or extension will be provided if the voucher has already expired at the time of cancellation.
    • If a voucher is set to expire on a Sunday (or any holiday), it must be redeemed before that day; otherwise, it will be considered expired.

Additional Notes

  • Change of Batch: Rescheduling to a different batch is subject to seat availability.
  • Transfer to Another Person: The recipient must fulfill all eligibility criteria as per BhaktiKaro guidelines.
  • Policy Changes: BhaktiKaro reserves the right to modify or cancel this policy without prior notice.
  • Tour Already Started: Once a tour package has begun, no refunds or vouchers will be provided for any unused services or early departure.
  • Forced Departure from Tour:
    You may be sent back from the tour if:
    • You face health concerns (e.g., altitude sickness, high blood pressure)
    • You fail to meet the required safety or fitness levels
    • You violate BhaktiKaro’s code of conduct, including consuming alcohol or smoking during the tour
    • You voluntarily choose to quit the tour for personal reasons

In such cases, no refund or voucher will be provided. All expenses thereafter will be your responsibility.

Refund Timeline

  • Any eligible refund will be processed within 10 working days from the date of approval.

BhaktiKaro-Initiated Cancellations

In the event that BhaktiKaro has to cancel or suspend a tour package prior to its commencement due to unavoidable reasons such as:

  • Natural calamities (e.g., snowstorms, floods, landslides, earthquakes)
  • Severe weather conditions (e.g., continuous rain or snow)
  • Political unrest, curfews, local riots
  • Pandemics or lockdowns
  • Government restrictions or any situation compromising group safety

BhaktiKaro will issue a Cash Voucher equal to the full amount paid. This voucher:

  • Will be valid for 1 year
  • Can be used on any BhaktiKaro tour
  • Requires the customer to pay the price difference if the new tour is priced higher

The voucher will be emailed to you within 10 working days.

Note: If transferring the voucher to someone else, the recipient must meet all BhaktiKaro’s mandatory eligibility requirements.
